CODE OF CONDUCT

Cultural Sensitivity

It is essential to respect the values and traditions of your students and to be aware that making stereotypical assumptions can be offensive. We strongly advise refraining from discussions involving marital status, politics, religion, and similar topics. Treat all students equally, and ensure that you do not select students based on race, nationality, ethnic origin, age, religion, disability, sexual orientation, gender, or any other characteristic.

Professionalism and Empathy

Maintain the highest level of professionalism at all times:

  1. Respond promptly to all student inquiries, messages, and lesson requests, ideally within 2 to 48 hours, depending on the lesson start time.
  2. Actively manage your profile. Update your calendar to accurately reflect your availability and minimize rescheduling, canceling, and declining lesson requests.
  3. Be proactive in communicating with and managing students. Strive to assist them and always demonstrate patience and politeness.
  4. Ensure a conducive learning environment for students, including appropriate lighting, a quiet room, and a reliable internet connection.
  5. Respect students' privacy. Refer to the Student Terms of Agreement for terms related to session recordings.

Punctuality and Attendance

C4E expects mentors to attend lessons as scheduled and be punctual. Rescheduling or canceling should be considered only as a last resort. Mentors and students should agree upon a clearly documented policy regarding lesson punctuality.

Representing C4E in a Positive Manner

As a participant in the C4E program, you are expected to uphold a positive image of C4E and refrain from making disparaging remarks or comments about the organization.

Conduct Resulting in Termination or Removal

Mentors who engage in the following actions may be subject to immediate removal from the C4E Mentor Program and Platform, with their accounts being deactivated:

  1. Participating in activities such as spamming, using disrespectful language, engaging in obscenity, or unlawfully acquiring personal information.
  2. Providing or disseminating false, misleading, or inaccurate information in their professional or personal profiles, mentor application forms, student evaluations, or feedback.
  3. Scheduling and initiating lessons with themselves or with fictitious students.
  4. Engaging in negative, defamatory, or aggressive behavior towards other mentors, students, or C4E representatives.

Lesson Policy

  1. Cancellation & Rescheduling Policy
    A confirmed lesson signifies a contractual obligation between you and the student. Only reschedule or cancel as a last resort, and ensure to communicate your intentions to the student beforehand. C4E implements a standardized lesson cancellation and rescheduling policy applicable to all mentors and students. Mentors are prohibited from devising their own cancellation and rescheduling policies. Rescheduling or cancellation is permissible more than 24 hours prior to the lesson's commencement, provided that both the student and mentor consent via the C4E platform. Rescheduling or cancellation within 24 hours of the lesson's start time is not allowed. Should this occur, after the lesson's designated end time, select "There was a problem" and choose an appropriate resolution option.
  2. Timely Lesson Execution
    C4E provides all mentors with a complimentary Zoom account for sessions up to 40 minutes, which will not interfere with your personal or educational Zoom accounts. Initiate lessons punctually at the prearranged time with the student. Inform students that their lesson is nearing completion by reminding them 10 minutes before the session's conclusion.
  3. Addressing Late Students
    Mentors and students must agree upon a well-documented policy regarding lesson punctuality. Mentors are not obliged to compensate for lesson time lost due to student tardiness and are not required to extend the lesson beyond the scheduled end time.
  4. Unattended Lessons
    If a student fails to attend a lesson, you are entitled to full payment. However, we recommend allowing the student to reschedule if they experienced an accident, emergency, or genuine misunderstanding. Retain all pertinent information concerning the uncompleted lesson in the event that C4E mediation is necessary.

Lesson Request Guidelines

  1. To request a lesson, students must have an account on the C4E platform. Lesson requests can be made via the C4E mentor portal with a minimum of 24 hours' notice. Upon the student's acceptance of the appointment, mentors will receive an email confirmation, and the session will be displayed on the mentor portal.
  2. Both the student's and mentor's confirmation emails will include a link to join the session. However, the student may only access the session once the mentor has initiated the virtual room.
  3. Students may cancel appointments as needed, but cancellations within 48 hours of the appointment are not permitted.
  4. If necessary, mentors can modify student reservations by selecting Session Details. Should mentors need to alter the reservation's time or date, they are obligated to notify students of the changes via the C4E platform.

Taking a Break from Teaching: Necessary Steps

  1. Update Your Calendar
    To adjust your availability for mentor sessions, log in to your C4E Mentor Portal > Mentor Area > Working Days. If you plan to take a vacation, ensure that your available times are closed by selecting all and deleting the designated slots.
  2. Modify Your Profile
    Access your profile by logging in to your C4E Mentor Portal > Mentor Area > Profile. Here, you can update the Details, Profile Information, and Description tabs. If you are taking a break, leave a message in your profile description, informing students of the dates when you are unavailable and unable to respond to lesson requests. Additionally, notify all your students about your break from teaching and, if required, cancel the lessons or packages you have with them. For example, state: "I will be unavailable from April 3-17 and unable to respond to lesson requests."
  3. Extended Absences or Mentorship Termination
    If you no longer wish to be a mentor or are taking an extended break, please inform C4E, and we will remove your profile from the list.
